How to find unbilled and $0 jobs in ServiceTitan
A completed job in ServiceTitan can leak money four ways: it has no invoice, the invoice is $0, the invoice has a real charge but no payment, or a payment was collected but never applied to the invoice. ServiceTitan's Jobs with Empty Invoices and Jobs without Payments reports cover the first three if someone opens them. The fix is to review them the same day, while the tech still remembers the job.
The four ways a finished job leaks
| Bucket | What it looks like | Usual cause |
|---|---|---|
| No invoice | Job completed, nothing billed at all | Tech closed the job from the truck without building the invoice |
| $0 charge | Invoice exists but totals $0 | Warranty, callback or comped visit — or a missed charge |
| Unpaid | Real charge, no payment captured | Customer said "bill me", card failed, or nobody asked |
| Payment not applied | Money collected but not attached to the invoice | Bookkeeping: the invoice still shows open in AR |
A $0 job is not always wrong. Warranty and recall visits are often $0 on purpose. The point is that each one should have a reason written on the ticket, so the owner can tell a warranty call from a forgotten charge.
Doing it in ServiceTitan yourself
- Open the Jobs with Empty Invoices report for jobs completed with nothing billed.
- Open Jobs without Payments for jobs that were billed but not collected.
- Build a Jobs report filtered to today's completed jobs with a $0 invoice total, and use ServiceTitan's report scheduling to email it to the office each evening.
- Check unapplied payments in the customer's payment history before calling anyone about an "open" invoice.
The common failure is not the reports. It is that nobody opens them until month end, when the tech has forgotten the job and the customer has moved on.
What FieldOps does
FieldOps reads the same ServiceTitan records and sorts every completed job into these four buckets. Job Watch sends a text or email within the hour when a job closes without the money behind it. The Daily Flash at 5:30 PM lists anything still open from today, one line per job, with the tech's name and a link to the record. It is read-only and never changes anything in ServiceTitan.
Common questions
Is a $0 invoice in ServiceTitan always a mistake?
No. Warranty, recall and comped visits are often $0 on purpose. The reason should be written on the ticket so the owner can tell them apart from a missed charge.
Which ServiceTitan reports show unbilled jobs?
Jobs with Empty Invoices shows completed jobs with nothing billed, and Jobs without Payments shows billed jobs that were not collected. A $0-total filter on a Jobs report catches $0 invoices.
Why catch it the same day?
The tech still remembers the job and the customer is still reachable. A month later, most of these become write-offs.
