ServiceTitan invoices that show open but were already paid
Some of the open AR in a ServiceTitan account was already collected. The two common patterns are unapplied payment credit sitting on the customer's account, and a payment that landed on a different invoice for the same job, often a financing payment, leaving the original open. Sorting AR by age or balance can't tell these apart from real debt; checking each customer's payment records can.
Two patterns to check before calling a customer
| Pattern | What you see | Fix |
|---|---|---|
| Unapplied credit | Customer has payment credit on account at least equal to the open balance | Apply the credit. The balance clears. |
| Paid twin | Another invoice for the same customer received a payment of the same amount | The open one is likely a duplicate or stale. Void or reconcile it. |
Calling a customer to collect money they already paid costs goodwill. Check first.
Doing it in ServiceTitan yourself
- Export open invoices over a floor (for example $100).
- For each customer, open their payment history and look for unapplied payments or a matching payment on another invoice.
- Pay particular attention to financed jobs, where the lender's payment can post to a different invoice than the one the office expects.
What FieldOps does
FieldOps checks every open invoice against the customer's payments, flags the ones that are probably already collected, and gives a worklist with the reason and a link to the record. At the founding shop, its first run found a $20,683 invoice that had sat in AR for months after the financing payment was applied elsewhere. It is part of the Growth plan.
Common questions
Why would a paid invoice still show as open in ServiceTitan?
Usually the payment was recorded but not applied to that invoice, or it was applied to a different invoice for the same job — common with financing payments.
How do I check before calling the customer?
Look at the customer's payment history for unapplied credit or a payment of the same amount on another invoice.
