Membership auto-bill declines in ServiceTitan: finding the dues aging in AR

Last updated

When a membership's recurring billing fails, usually because the card expired or was declined, the dues sit in ServiceTitan as small open invoices that age bucket after bucket in AR. Left alone, the membership quietly lapses too. The fix is a short call list: customers with small open balances, matched to their membership status, with a phone number on each row.

Why these are easy to miss

Each charge is small, so it sorts to the bottom of an AR aging report. There are usually many of them, and they look like slow payers rather than a billing failure. Nobody owns them, so they age until someone writes them off — and the customer often doesn't know their plan stopped.

Doing it in ServiceTitan yourself

  1. Run AR aging and filter open invoices to small balances (for example, at or under your highest monthly dues).
  2. Group by customer and look up each one's membership status.
  3. Pull the customer's phone and email and work the list in one sitting.

What FieldOps does

FieldOps builds this list from ServiceTitan automatically: small open balances grouped by customer, joined to their membership record, with an action and contact details on each row. It is attached to the Daily Flash so the office can work it from the inbox. It is part of the Starter plan.

Common questions

Why do membership dues show up as open invoices?

Recurring membership billing creates an invoice each cycle. When the card on file fails, the invoice stays open and starts aging in AR.

What should the office do with a declined membership?

If the membership is still active, update the card and re-run the charges. If it has lapsed, collect or adjust off the dues and cancel the plan so it stops aging.
